Magrabi operates in 35 locations distributed in the Kingdom of Saudi Arabia, United Arab Emirates, Qatar, Saltanat of Oman, Yemen, and Egypt. Magrabi has become the largest eye care network in the world, providing eye care to more than 1,000,000 patients and performing more than 100,000 sight-preserving surgeries annually.

The Challenger

Delivery of key data and information to the asset management system

Hospitals and clinics face similar problems keeping track of and managing critical medical assets and IT-Assets in their organizations. These assets are some of the largest investments that any business or organization will make and as such, require a better method for inventory management; Magrabi Group is no exception.

 The Hospital faced three main problems. First, they had very little visibility into the location of their medical equipment.  A lack of auditing tools prevented staff from gaining a complete understanding of equipment status. Additionally, hospital staff replaced items they thought they had lost when they were actually in an unexpected part of the hospital, leading to unnecessary expenses.

Magrabi conducted a formal review process to evaluate options for a more efficient solution that fit their process and resources to implement an RFID Asset Inventory in a centralized RFID-Platform to support all distributed hospital facilities.

The Smartx Solution

Extend Asset Management Systems to Track and Locate Every Asset with Rain RFID

An initial RFID Proof of Concept effort at 2 Hospitals in Saudi-Arabic was conducted to understand MAgrabi’s requirements and to provide them with a complete, customized end-to-end solution from hardware selection, customized software installation, 2 ERPs integration services, and hands-on on-site inventory.

SmartX built a solution that uses the SmartX HUB cloud platform to track all of the  IT and non-IT assets. The customer was able to integrate the solution with their existing asset management software and reduce time searching for items. 

  • Items are tagged upon entry to the hospital. When an item enters the hospital ecosystem, it is tagged with a unique RAIN RFID tag Each tag has a unique ID number that is then associated with the department, custody, and location-zone.
  • RFID  handheld device reads the asset’s tag as it moves throughout the building.  Once audited, the asset’s location is sent to the SmartX HUB Platform.
  • The SmartX HUB Platform for asset management logs the asset’s location information as items is scanned. When the system sees that an item  has not been logged for few days, the SmartX HUB management system alerts staff to locate the missing asset.

Fixed Asset Audit Inventory management can be automated by accessing a variety of reports in SmartX HUB. Inventory reports enable staff to perform real-time inventory counts throughout the entire hospital facility in multiple facilities. Utilization reports are an effective tool to help managers assess capital equipment purchasing requirements and allocation among hospital departments.

The SmartX HUB Platform would not only put an end to shrinkage, but help identify and isolate problems across the entire ecosystem. It would further allow the Hospital to define optimal assets quantities for the next program while reducing the cost of purchases.
